The Clubs Department aims to create a vibrant campus community where every student can thrive. Whether you’re looking to join an existing club or start one of your own, the department is here to help you every step of the way.

We support and oversee all recognised student organisations, providing guidance, resources, and opportunities to make your club the best it can be. Our mission is to make it easier for students to connect with others who share their passions—whether that’s academics, culture, sports, or creative expression.

What does the Clubs Department actually do?

  • Give guidance: regarding club goals & activities, accreditation process, and more.
  • Represent clubs: on campus toward other students and organisations.
  • Advertise clubs: make club activities visible through our social media and website.
  • Provide resources: such as people, tools, funding for pilot projects, and space to use.
  • Monitor: progress and activities to maintain high quality in clubs and efficient resource use.

Want to start a club?

Got your idea and ready to bring it to life? starting a club is quick and easy, just follow these simple steps to get your club up and running.


1. Club Proposal

To get started with the process of creating a club that is supported by the student council, a club proposal must first be submitted through the link at the bottom of the page.

Requirements:

  • Club name
  • What is your mission?
  • What activities will you plan?
  • What makes this club unique on campus?
  • Who are your founding members?
  • How are the members of the club structured?
  • How do you plan on selecting members for their respective roles?

2. In-Person Meeting

After the student council reviews your proposal, we’ll reach out to you to schedule an in-person meeting. In this meeting, we’d like to get a better idea of the club activities you plan to start, the resources you’ll need, and how you plan to get your club off to a great start.


3. Your First Club Meeting!

You’re nearly there! But first, a suitable location should be chosen for your club meetings.

Once you’ve finalised your location and time, your club’s first meeting will be advertised through the student council’s social media channels. The post shared by the student council will be created and provided by you 🫵 - the club founders.


This first meeting will be reviewed based on:

  • How many people attended
  • The spirit of the club and its members
  • Whether your club activities were successfully executed

If your first meeting is deemed successful based on the criteria above, your club will then enter the accreditation phase. If it isn’t deemed successful, don’t worry - your dream of starting a club isn’t over. The student council will suggest and help you implement improvements to make your next meeting even better.


4. The Accreditation Phase

After a successful first meeting, each club has 2 months to become a student group officially accredited by the central Studenten Vertretung in Munich. This step should be completed by the club itself, but the student council can assist if needed.

Why should a student club get accredited?

  • To receive funding from the Heilbronn student council, your club must first be accredited
  • A permanent listing on the Student Respresentation’s website
  • The opportunity to share content via the Student Council’s social media (only in coordination with the Student Representation’s marketing department)
  • Ability to apply for special room usage privileges
  • Ability to apply for special funds
